Executive Associate

10,000 Degrees is the premier college success organization in the Greater San Francisco Bay Area.  Founded in 1981, the organization provides a comprehensive program assisting students from low-income households with intensive college prep, mentoring, college and financial counseling, scholarships and financial aid management and has helped thousands of them get to and successfully graduate college.

The Executive Associate reports to the Vice President of Strategic Growth and is responsible for assisting in all aspects of administrative support to the Executive Team:  President/CEO, Vice President of External Affairs, Vice President of Strategic Growth and the Board of Directors


Primary Liaison for President with Internal and External Constituents

  • Proactively manages and coordinates President’s correspondences; communicates with all necessary people regarding President’s calendar.
  • Prepares the President for all meetings including Board, committees and outside community meetings and presentations; meets with President at beginning of each week to review calendar and support needed for each meeting.
  • Researches, collects, and disseminates relevant industry data and publications.

 Provides administrative support for President and Executive Team

  • Proactively manages the Presidents’ schedule and calendar.
  • Proactively ensures all President’s contacts are in database.
  • Reviews all donor acknowledgements prior to President’s signature.
  • Supports the VPs with scheduling and managing calendars.
  • Provides logistical support for all events.
  • Assists with data entry as needed for Executive team’s contacts and meeting notes.
  • Coordinates and calendars staff meetings and gatherings.
  • Prepares internal meeting minutes and provides meeting prep support and follow-up.
  • Assists with projects as needed.
  • Organizes and manages the Executive team files, including Board docket and committee packets.

Provides support for Board of Directors.

  • Schedules and coordinates meetings and special events; prepares agendas for review and distribution; prepares presentation materials and Board mailings; communicates with Board and Committee members; prepares minutes for review.
  • Ensures all preparation and logistics for all Board and committee meetings including technology, food, facilities, other equipment and supplies as necessary.
  • Prepares the President for all Board committee meetings with agendas and packets; prepares annual Board binder.
  • Maintains the Board’s annual calendar and updates Board Handbook with all current informational materials.
  • Prepares board meeting and committee meeting minutes and coordinates the management of organizing documents including 501(c)3 status, bylaws and updates, and all legal corporate documents.
  • Ensures accurate documentation of corporate governance meetings.

  • Excellent organizational, prioritization and time management skills.
  • Attention to detail and ability to manage multiple responsibilities consistently and accurately.
