Executive Assistant

The ideal candidate for this position will be a strong project manager with excellent customer service skills and an ability to manage a myriad relationships.

Position Purpose:

The Executive Assistant reports directly to the Vice President and is responsible for assisting in all aspects of administrative support to the President & CEO, Executive Team and Board of Directors:

Principal Responsibilities

Calendars and Scheduling

  • Proactively and aggressively manages the Presidents’ schedule and calendar.
  • Coordinates and schedules meetings for senior management team.
  • Manages scheduling and follow up for external meetings, including sending materials, reminders and follow up.

Technology

  • Organize and Maintain files in google suite and Salesforce
  • Ensures contacts and notes are up to date in Salesforce
  • Assists with expense reports, time cards and other administrative tasks
  • Administers google groups, and Board listings on website 

Communications

  • Proactively manages and coordinates Presidents’ correspondences; communicates with all necessary people regarding President’s calendar.
  • Prepares the team for all meetings including Board, committees and outside community meetings and presentations.
  • Maintains excellent relationships with internal and external teams to ensure seamless communications
  • Organizes and manages the Presidents’ files including Board docket and committee packets.

Provides support for Board of Directors

  • Schedules and coordinates meetings and special events; prepares agendas for review and distribution; prepares presentation materials and Board mailings; communicates with Board and Committee members; prepares minutes for review.
  • Ensures all preparation and logistics for all Board and committee meetings including technology, food, facilities, other equipment and supplies as necessary.
  • Coordinates compilation of Board meeting packets and follow up materials.
  • Prepares the President for all Board committee meetings with agendas and packets; prepares annual Board binder.
  • Maintains the Board’s annual calendar and updated Board Handbook with all current informational materials.
  • Prepares board meeting and committee meeting minutes and manages organizing documents including 501(c)3 status, bylaws and updates, and all legal corporate documents.
  • Ensures accurate documentation of corporate governance meetings.

Administrative

  • Supports office and administrative functions which could include processing mail, ordering office supplies, coordinating conference room schedules, ensuring an organized and safe workspace.
  • Coordinating and managing office vendors and other key office management relationships

Qualifications:

  • BA/BS Degree required
  • Commitment to our mission and educational equity
  • Energetic and proactive problem solver
  • Experience providing direct support to the senior executive and Board of Directors.
  • Experience managing multiple calendars and shifting priorities.
  • Google suite super user with experience in Salesforce and Microsoft office.
  • Ability to multi-task, prioritize and remain flexible.
  • Ability to work under pressure and meet multiple deadlines.
  • Ability to manage a high level of detail accurately and consistently.

Compensation Package:
